Invite your first staff member

Send an email invitation, pick a role, and let the new staff set their own password.

Staff are added by email invitation — you never see or set their password. Only the owner can invite staff (managers cannot); the invitee clicks a link in the email and sets their own password on first sign-in.

Roles

Pick the right role at invite time — it sets the permission defaults that apply to what this person can see and do. You can always adjust individual permissions later per staff member.

DispenserPOS. Sees only their own sales — cost and profit are hidden.
AccountantReports and financials. No sales entry.

Owner is not selectable as an invite role — a pharmacy has exactly one owner, established at pharmacy creation.

Send the invite

Sidebar: Staff. Click Invite staff (owners only see the button; managers see the directory read-only).

Fill in:

  • Email — the invitee's address.
  • Full name — how they'll appear in RxShelf.
  • Role — Manager, Dispenser, or Accountant.

Click Send invite.

The invitee receives an email from noreply@rxshelf.ng with a link. It lands them on the password-set screen. Once they set it, they log in and see the app scoped to your pharmacy.

Adjust what a specific staff member can do

Roles set the defaults. To grant or revoke one permission for one specific person — for example, letting one trusted dispenser also refund sales — use the per-staff permission editor.

Two ways to reach it, same editor:

  • Sidebar: Staff → click the staff member (owner only — managers get redirected to the directory).
  • Sidebar: Settings → Permissions — the pharmacy-wide matrix showing every staff member's overrides in one grid.

Suspend or reactivate

Deactivating a staff member locks them out of the app but keeps their sales history intact. From the staff member's detail page, click Suspend. Click Reactivate to bring them back.

What you can't do

  • Change email or delete an account. Email is currently immutable in the personal profile, and RxShelf keeps deactivated staff rows so their sales history and audit trail stay intact — no hard delete.
  • Invite a second owner. A pharmacy has exactly one owner. If you need to transfer ownership, contact support.
